Gifts & Donations Policy

HAFS welcomes gifts and donations as an important and valuable means of enriching the Association’s resource materials.

Physical items (photographs and collections of photographs, individual monographic items, collections of monographs, audio visual material and serials) are generally accepted for inclusion in the HAFS resource materials on the basis of relevance to the HAFS aims and in accordance with the guidelines set out in this Policy.

Physical items are also accepted on the understanding that the material accepted becomes the property of HAFS, and may not be reclaimed at a later date. As appropriate, the donor of any physical items also transfers to HAFS all copyright and other intellectual property rights in such items.

Items which are not selected for the collections, including duplicate materials, may be transferred to other third parties, or disposed of in other ways as appropriate and decided at the discretion of all members of the HAFS Committee.

Some donations consist mainly of scanned or other electronic items, including photographs and documents. These items will also be accepted under the conditions in this Policy, unless the donor has good reason to seek an exemption. Scanned photographs are frequently acquired for publication in Journal and Newsletter articles.

HAFS does not accept gifts as long term loans. Gifts might not be accepted if the donor wishes to place limitations or restrictions on their use or disposal. It is HAFS policy that physical items are integrated into the existing collection.

Special treatment of significant collections may be considered at the sole discretion of the HAFS Committee.

Items are not generally “lent out” but in some limited circumstances, copies of various items may be able to be made available to members and third parties, subject always to cost and copyright restrictions.

If you wish to donate items, please contact a member of the HAFS Committee. We will provide you with a copy of this policy document to be signed, witnessed and dated.

Donors of physical items are thanked in writing by letter from the President of HAFS.
